How to Present Technical Project Results So Stakeholders Understand Their Value
In many Horizon Europe and research and innovation projects, technical project results are not the weak point. The method may be robust, the pilot may be successful, the demonstrator may work, and the dataset may have real reuse value. Yet once these outcomes need to be presented outside the core project team, the message often stays too close to internal project language. The result is technically correct, but still harder than it should be for industry, policymakers, researchers outside the consortium, or innovation actors to understand and use.
That matters because Horizon Europe is not only about producing results. It is also about making them visible, usable, and valuable beyond the project itself. The European Commission’s dissemination and exploitation strategy explicitly connects project results with market uptake, wider scientific use, and policy relevance, while the REA explains that dissemination means sharing results with the people who can best make use of them and exploitation means using results to improve products, processes, services, or policies.

Common Mistakes in Presenting Technical Project Results
In technical projects, it is common to assume that a strong result will speak for itself. In practice, it rarely does. A project may have produced an algorithm, a prototype, a demonstrator, a workflow, a dataset, or a policy-support method, but the external stakeholder still needs help answering five practical questions: what is this, why does it matter, how mature is it, what proof supports it, and what should happen next.
This is especially important in Horizon Europe because dissemination and exploitation are not optional communication extras. The Commission states that beneficiaries are legally obliged to disseminate and exploit results, and it frames those activities as key to increasing uptake and demonstrating project impact. The Commission also lists a broad range of project results that may need this kind of stakeholder-facing framing, including know-how, innovative solutions, algorithms, proof of feasibility, new business models, policy recommendations, guidelines, prototypes, demonstrators, databases, and datasets.
So the issue is not whether technical work should be simplified. The issue is whether it is packaged in a way that makes stakeholder uptake possible.
A Practical Method for Presenting Technical Project Results
Most technical slides and project updates describe the result from the inside of the project. They focus on the architecture, framework, methodology, benchmark, pilot, demonstrator, or TRL progress. That is useful for the technical team and for formal reporting, but it is often incomplete for external audiences.
Industry usually wants to know whether the result can solve a problem, fit into existing processes, and move closer to use. Policymakers want to know whether it supports better decisions, addresses a policy need, and can be implemented in a realistic way. Researchers want to know what is novel, robust, reproducible, and reusable. Innovation actors want to know whether there is a credible route to uptake and value creation.
If a result is described only in internal or engineering language, the work itself may remain underappreciated even when it is strong.
Checklist for Presenting Technical Project Results Effectively 
A useful way to present technical outcomes is to treat each important result as a result card. This moves the focus away from generic communication and toward concrete result packaging.
A strong result card should answer six questions.
First, what is the result? Name the concrete asset clearly. Avoid relying only on deliverable numbers, work package language, or internal shorthand.
Second, who is it for? Identify the main stakeholder, user, adopter, funder, regulator, or actor who could build on it.
Third, what problem does it solve? Show the practical relevance, not only the technical identity.
Fourth, what proof supports it? Use benchmark results, pilot validation, demo evidence, user testing, comparison against a baseline, reproducibility, or other forms of credible validation.
Fifth, what still limits adoption? Acknowledge readiness gaps, interoperability issues, regulation, infrastructure requirements, data access constraints, cost, or user-readiness barriers.
Sixth, what is the next step? That could mean broader pilot testing, integration in operational settings, policy uptake, standardisation work, licensing, spin-out potential, follow-up funding, or continued research.
This logic aligns well with the Commission’s dissemination and exploitation ecosystem, including the Horizon Results Platform, which is intended to help project results reach investors, partners, policymakers, and other relevant actors. It also fits the REA’s 2025 starter kit, which is designed to help projects maximise the economic and societal impact of their results.
How to write a stronger technical result line
One of the easiest improvements is to strengthen the first line that introduces the result.
Weak version: “We developed an AI-enabled optimisation framework.”
Better version: “We developed an AI-enabled optimisation framework for improving production planning decisions.”
Stronger version: “We developed an AI-enabled optimisation framework validated in pilot settings to support production planning decisions in complex industrial environments.”
The stronger version works better because it already includes the technical identity, the application context, the intended improvement, and the evidence stage. It reduces interpretation work for the stakeholder and makes the result easier to place in a practical setting.
A useful formula is:
technical identity + application context + intended improvement + evidence stage
How one result should be adapted for different stakeholders
Another common weakness is trying to explain the same result in one generic way to everyone.
Take this example: a federated analytics workflow for distributed healthcare data environments.
For researchers, the strongest angle may be methodological relevance, robustness, reproducibility, or privacy-preserving multi-site analysis.
For industry, the strongest angle may be the ability to support secure analytics collaboration without centralising sensitive data.
For policymakers or public authorities, the strongest angle may be enabling cross-institutional collaboration while respecting data protection constraints.
For investors or innovation actors, the strongest angle may be application potential in regulated environments where compliance, trust, and scalability are essential.
The technical result is the same. The stakeholder framing is not.
This is also where the EU’s broader knowledge valorisation framework becomes relevant. The Commission’s code of practice on industry-academia co-creation encourages organisations to invest in networking, communication, shared goals, and joint valorisation of results.
Why proof, maturity, and barriers matter more than slogans
Many project descriptions still rely too much on vague language like “innovative,” “high impact,” or “transformative.” These words are weak if they are not backed by something concrete.
A more credible result presentation shows what has been validated, under which conditions, what level of readiness exists now, what still blocks broader uptake, and what needs to happen next.
For example:
“We developed a digital twin architecture validated in a pilot demonstrator to help industrial operators test and optimise process decisions before implementation. Pilot validation and benchmark comparison support the technical potential. Broader operational testing is still needed before deployment in real production settings.”
This kind of framing is stronger because it combines value, proof, readiness, and realism. It also aligns with the EU’s valorisation approach, which stresses both knowledge use and good IP management.
What this means for dissemination and exploitation in practice
A project website, post, factsheet, or slide deck should not only say that a result exists. It should help the right stakeholder move one step closer to action.
That action may differ by audience: requesting a pilot, citing the result, using the dataset, integrating a method, adopting a workflow, funding a follow-up step, or drawing on the result for policy work.
Seen that way, strong result presentation is not cosmetic. It is a practical part of dissemination and exploitation. The REA’s guidance also makes clear that communication has a complementary role: it makes the project and its results visible, but it should not be confused with dissemination and exploitation. Visibility alone is not enough if the result still cannot be understood and used by the people who matter most for uptake.
A final practical test
Before publishing a result slide, article, or result section on your website, test it with these questions:
Is the result named clearly?
Is the main stakeholder visible?
Is the practical value explained?
Is the evidence visible?
Is the maturity level understandable?
Are the limitations acknowledged?
Is the next step clear?
If the answer is no to several of these questions, the result is probably still being described too much from the inside of the project.
That does not mean the technical work is weak. It usually means the result has not yet been translated into stakeholder-ready value. And that is often the difference between a result that is merely reported and a result that is actually taken forward.
